Your QuickBooks connection has ended.
Sovun Assistant is no longer connected to your QuickBooks Online company. Nothing more will be read from it or written to it. Below is exactly what that means for your data — including what we still hold — and how to reconnect if you want to.
What just happened
Intuit has ended the connection between Sovun Assistant and your QuickBooks Online company. The authorisation Sovun Assistant was using is no longer valid at Intuit, so it can no longer be used to reach that company.
You do not need to do anything else to stop the connection. It is already off.
What the connection could do while it was open
Sovun Assistant's QuickBooks Online connection is declared to Intuit as a read and write connection. This section sets out both halves honestly, because "what could this app have done with my books" is the question this page exists to answer.
Reading
Our own code limits which record types may be touched at all. Ten were in scope:
- Your company information
- Customers
- Items — your products and services
- Payment terms
- Tax codes
- Accounts — your chart of accounts
- Vendors
- Purchases — your expense transactions
- Time activities — billable time entries
- Invoices
Bills, deposits, journal entries, payments and employee records were never in scope and could not have been requested.
Those ten are what the connection permitted. What the software actually fetched is narrower: as it is wired today, only the first five — company information, customers, items, payment terms and tax codes — are fetched by any screen. We are showing you the permitted list as well, because that is the honest answer to "what could have been read from my books".
Two of those record types can carry free text written by a person rather than reference data: an expense transaction can carry a private note, and a time entry carries a description. We would rather say that than let "reference information" cover all ten.
What it was read for. The reference records are read so that what you see in Sovun Assistant matches your books — the same customer names, the same product and service list, the same payment terms and tax codes — rather than a second set typed in by hand. Accounts, vendors and purchases are read to assemble a queue of expense transactions that have not been categorised, so a bookkeeper can categorise them. Time activities and invoices are read to work out which billable time has not yet been invoiced and when each customer was last invoiced, so an invoice can be proposed for a person to check and approve. None of it is read for anything else.
That information was sent straight back to the screen that asked for it. It was never written into our database. As the product is wired today there is therefore no stored copy of your QuickBooks Online records in our systems for us to delete.
Writing
Sovun Assistant is built to write approved records back to QuickBooks — for example an invoice prepared from your own data, checked and approved by someone at your business before it goes anywhere. Nothing is ever written to your books that a person at your business did not approve first. The software does not decide on its own to create, change or delete anything in QuickBooks.
Two facts about your connection specifically, so there is no doubt:
- Writing to QuickBooks Online is not enabled in production. The outbound connection our server is permitted to make to Intuit's accounting service currently accepts read requests only. Nothing was written to your books through it.
- Nothing can be written now in any case. The authorisation has ended, so neither reading nor writing is possible until you choose to reconnect.
What we still hold, and what we do with it
We keep the record of the connection itself. That is a single row in our database containing:
- your Intuit company identifier — Intuit calls this the realm ID — which we store in plain, unencrypted text;
- the access and refresh tokens, which are encrypted;
- the dates the connection was created, last refreshed, and ended.
When a connection ends, we mark that row as disconnected. We do not delete it. The encrypted tokens stay in the row even though they no longer work anywhere. We are telling you this plainly rather than letting you assume otherwise: today there is no step in our software that erases a QuickBooks connection record on its own.
None of your QuickBooks information is sold, rented, or shared with anyone for advertising or for any purpose other than running Sovun Assistant for you. Sovun Assistant does not process your data on Intuit's behalf; we are an independent company and you are our customer, not Intuit's.
If you disconnected from inside QuickBooks
This matters and it is easy to get wrong, so here it is in full.
When you disconnect an app from inside QuickBooks Online, Intuit ends the connection immediately and our access stops working straight away. But Intuit does not notify us that you did it. Our software has no way to find out on its own. So until a person at Sovun Technologies updates the record by hand, our own records will still show the connection as open — even though it is dead and nothing can be read or written through it.
Nothing can reach your books in the meantime. But if you would like our records tidied up to match, email us at [email protected] and we will mark the connection closed. It takes us a minute.
Backups
We copy our database every night. Copies made while you were connected still contain the connection record described above, and those copies stay until they age out and are replaced by newer ones — one monthly archive copy is not on a removal schedule at all. Removing something from our live database does not remove it from backups that were already taken.
Asking us to delete the connection record
You can ask us to remove the connection record entirely. Write to [email protected] and we will respond within 14 days. Two honest caveats:
- It is a manual step performed by a person at Sovun Technologies. We have no automatic process that deletes it on a schedule.
- It removes the record from the live database, not from backups already taken.
Our full Privacy Policy explains everything else we hold and why.
QuickBooks Desktop is a separate connection
Everything above is about QuickBooks Online. If your business also connects QuickBooks Desktop to Sovun Assistant using the QuickBooks Web Connector, that is a different connection and disconnecting QuickBooks Online has no effect on it.
The Desktop connection works differently, and we would rather say so than let it be discovered: it writes to your company file — recording production builds and assembly cost updates that were approved in Sovun Assistant first, and nothing else — and QuickBooks item and assembly records from it are saved into our database.
To end a QuickBooks Desktop connection, remove Sovun Assistant from the Web Connector on the computer that runs QuickBooks Desktop, and let us know so we can close it on our side too.
How to reconnect
If you disconnected by mistake, or you want to connect again later, nothing is lost — reconnecting is straightforward.
- Sign in to your Sovun Assistant portal.
- Open Integrations and choose Connect with QuickBooks.
- What happens next depends on how your portal is set up. In some portals that records a request and we get in touch to go through the Intuit sign-in with you; in others it starts the sign-in straight away. Either way, the next screen you enter anything on is Intuit's.
- You sign in at Intuit's own website and approve the connection there. Your QuickBooks user name and password are entered on Intuit's site — never on ours — and we never see them or store them.
If you do not see an Integrations area in your portal, or you would rather we just handle it, email us at [email protected] and we will set it up with you.
